Responsibilities

Position Overview: The Sales Support Admin provides frontline support to clients, brokers, and the sales team by managing guest reception, property presentation, transaction documentation, and project data. This role ensures a seamless client experience and efficient back-end support for all sales and marketing activities.

Key Responsibilities:

1. Guest and Homeowner Reception
•Greet and assist guests and homeowners at the concierge.
•Maintain accurate log sheets for visitor and appointment tracking.

2. Client and Broker Viewings
•Assist in coordinating and conducting property viewings (walk-ins, scheduled, brokers).
•Update and maintain client databases using Google Sheets.

3. Property Presentation Management
•Ensure units for viewing are presentable (clean, scented, no repairs needed).
•Maintain daily updates on units available for viewing.

4. Client Concerns and Coordination
•Assist clients with punch lists, turnovers, and repair-related concerns.
•Coordinate with relevant departments to ensure timely resolution.

5. Transaction Documentation Support
•Handle Reservation Agreements, fees, and required client documents.
•Transfer documents to the documentation admin for processing.

6. Inventory Management
•Track and update unit inventory (sold, held, available for viewing).

7. Sample Computation Creation
•Prepare computation sheets to support sellers and clients in decision-making.

8. Broker and Seller Accreditation
•Process broker and seller accreditation requirements.
•Assist in organizing project tours and briefing sessions.

9. Reportorial & Project Data Management
•Manage project data related to sales, allowances, expenses, etc.
•Ensure the sales team is updated on developer tools, reports, and announcements.

Requirements:

  • Bachelor’s Degree in Business Administration, Marketing, or related field.
  • Experience in real estate, property management, or sales support preferred.
  • Strong organizational and multitasking abilities.
  • Excellent client-facing and communication skills.
  • Proficiency in MS Office, Google Workspace, and sales databases.
  • Professional, courteous, and service-oriented personality.
